HOA Research Specialist

In addition to the specific list below, the HOA Research Specialist is responsible for assisting the Operations Manager and other staff with questions they may have.

Along with normal daily production, the HOA Research Specialist is also responsible during off hours, as necessary, to review and address notes left by staff in the pending log to ensure completion of orders and client satisfaction and maximize turnaround time of tax certificate issuance.

General Job Duties:

  • Manage/Maintain new HOA requests coming into portal with Tax Certificate Requests
  • Research and complete HOA information (for select counties) using company database and/or researching subdivision HOA through restrictions and online information available. Verify HOA/Management Company contact information prior to completing certificate
  • Manage/Maintain HOA database in the portal and also any spreadsheet databases not yet transferred into portal
  • Completion process of HOA may also include: 
  • Fax/Email/Online Submittal of assessment information request to HOA or HOA Management Company
  • Receive assessment information from HOA or HOA Management Company
  • Enter amounts due and notes/instructions as provided by HOA or HOA Management Company in to portal
  • Follow up with HOA or HOA management companies when slow or no response is received 
  • Send completed HOA Certificate (along with completed Tax Certificate) to customers
  • Maintain communication and customer service with title company customers
